PRNEWS.IO is a global platform that helps brands publish sponsored content and press materials on thousands of news websites worldwide. Headquartered in Tallinn, Estonia, it bridges the gap between businesses and publishers, making media placements fast, transparent, and accessible.
For a global company like PRNEWS.IO, a robust tech stack is essential, but as their software portfolio grew, their manual process for managing subscriptions became chaotic, leading to wasted time and resources. They needed a way to bring order to their software spending without slowing down their team. That's when they turned to Cledara.
Before Cledara, PRNEWS.IO's software subscriptions were handled manually. CFO Viktor Matvieiev confessed they relied on "just a few shared corporate cards". This approach was time-consuming and inefficient. "All payments went through those cards, which made tracking, categorizing, and controlling expenses complicated and time-consuming,". Viktor explained that accountants had to spend extra effort reconciling charges, unused subscriptions would fly under the radar and spending limits were hard to enforce.

By assigning a separate virtual card to each subscription, Viktor’s team gained the ability to set specific spending limits and automatic top-ups for every tool, making budget control a breeze. This centralized management system made it possible to easily create new cards, assign each subscription to a specific department and quickly delete cards for unused tools.
As PRNEWS.IO expanded its use of AI tools like OpenAI and Claude, they faced a new challenge: managing variable, consumption-based costs. Without a proper system, this type of spending could lead to budget surprises.
With Cledara's spend data, PRNEWS.IO can now easily calculate the ROI for each of its AI tools by cross-checking how much a tool costs versus how many leads or conversions it generates. “That clarity allows us to make smarter, data-driven decisions about our tech investments.” Cledara also helps them avoid redundant spending by giving them a complete, real-time view of all their MarTech tools, instead of having to rely on manual audits. As Viktor explained, "Having this level of visibility ensures that AI spending remains predictable and sustainable, just like any other software category".
The old manual system created a bottleneck for the Finance and IT teams. Viktor noted they had to spend a lot of time chasing people for details or approvals. The end of each month was a huge time sink, as managers had to waste hours resolving billing questions and digging through card statements.
“The biggest ROI comes from time.”, Viktor explained. “Cledara hasn’t just saved us money, it’s earned some back by freeing up our team to focus on growth instead of admin”.
The platform gives Viktor’s team "full visibility into our software stack," which includes around 50 active tools, some essential to their business operations, like Elastic or Veriff. This means Finance can now work more effectively with other departments, including Engineering, by giving "clear visibility while letting the engineers stay focused on their work".
